Form W-2c is how an employer corrects a Form W-2 that was already filed with the Social Security Administration or given to an employee: a wrong SSN or name, or wrong wages, tips or withholding. Each box has a 'previously reported' and a 'correct information' column, and you complete only the boxes being corrected. Copy A goes to the SSA with Form W-3c; Copies B, C and 2 go to the employee; Copy 1 to a state or local agency; Copy D stays with you. The SSA encourages e-filing through Business Services Online. The PDF on irs.gov is a mix: its Copy A is for information only and cannot be scanned, so on this page Copy A stays read-only, while the employee and record copies can be filled and printed, as the IRS note on the form allows. Revision January 2026.

The black copies can be filled, printed and given to the employee to meet the requirement to provide the information.
“Copy B and other copies of this form, which appear in black, may be downloaded, filled in, and printed and used to satisfy the requirement to provide the information to the recipient.”
Form W-2c (Rev. 1-2026), note on page 1As soon as you find the error.
Always send Form W-3c with paper Copies A. Use dark ink, 12-point Courier if possible, and enter -0- rather than leaving a changed amount blank.
“File Forms W-2c and W-3c as soon as possible after you discover an error. Also provide Form W-2c to employees as soon as possible.”
