Fix · a common PDF problem

Filled form shows blank fields for others?

Short answer. The values are in the file but their appearances are missing, or the recipient’s viewer shows a different form layer. Fill with drawn appearances and send a flattened copy.

Causes and fixes

  1. 1
Missing appearance streamsThe file says “redraw the fields” and the recipient’s viewer doesn’t.

  2. 2
XFA and AcroForm layers disagreeFilled in a browser, opened in Acrobat (or the other way round).

  3. 3
Recipient previews in an app that ignores formsEmail and messaging previews often show page content only.

What is going on

Some apps save form values without drawing them, and instead set a flag asking the next viewer to redraw every field. Viewers that honour the flag show the answers; previews in email apps, phones and many upload portals don’t, so the boxes look empty.

Hybrid XFA forms add another way to disagree: Adobe software shows the XFA layer, other viewers show the AcroForm layer, and an answer typed into one may be missing from the other. The inspector above shows whether the form has an XFA layer and whether its fields carry values.

The reliable way to send a filled form is a flattened copy: every answer becomes ordinary page content, visible in every viewer and preview. Keep the editable version for yourself. For official forms, check the agency’s rules on how a form must be filled and signed [1].
